Project proposals have been streamlined

Project proposal forms and process in Converis have been renewed in 2021-22. When submitting the proposal to financial check, the number of obligatory fields has been reduced. The form is augmented to full detail if the application results to positive funding decision.

Development related to project proposals in JYU Converis 2021-2022:

  • 21.12.2022. Maintenance break. Selection of strategic core fields is hidden from project proposals. Equivalent information is inferred from follow-up groups and profiling areas marked to project proposal.
  • 8.12.2022. Added regular message to heads of faculty administration about new pos. funding decisions with funding amount of at least 50000€.
  • 23.11.2022. Main funder is automatically set based on certain funding programs (e.g. AoF, EU, Business Finland programs). Fixed a bug related to automated percentage calculation.
  • 18.11.2022. Added link to funder to applicable funding programs.
  • 5.10.2022. Maintenance break. Project proposals for JYU projects with supplemental funding are combined to one form template. As part of the operation form type less than 100 000€ is removed from the system.
  • 22.9.2022. Documents related to project proposals marked as negative or discontinued are removed after 5 years of planned project start date. Validation rules have been elaborated such that a predefined document type (e.g. budget, research plan) has to be marked for new project proposals. Information about removed documents is preserved to a new document history field.
  • 10.8.2022. Adopted pop up form for project proposals and expanded equivalent form for projects. With pop up form it is possible to e.g. edit a project proposal related to a project without leaving the original form (assuming the project form was first opened). DataSpecialists have now similar rights to projects as Library publication recording staff.
  • 7.7.2022. Updated validation functionality related to project proposals: description of consortium is now obligatory if the proposal is part of a consortium. Risk-related fields are obligatory if total budget for JYU project propsal exceeds 100 000€.
  • 5.7.2022. Added link attributes to mark awarded funding to project proposals.
  • 1.7.2022. Project proposal title and summary are now automatically copied to both languages. Applied funding is used as default for awarded funding. Percentage fields related to funders and self-funding are now calculated automatically.
  • 22.6.2022. Maintenance break. New status 9B Awarded (financial check) was added for project proposals related to JYU projects. With the new process researcher augments the proposal information on positive funding decisions in status 9A and submits the proposal (JYU projects) to project controllers for checking to status 9B. In addition, obligatory data and visible fields to be filled in preparation stage (status 1) were reduced.
  • 6.6.2022. Added new fields to represent total consortium budged to project proposals and projects. Is JYU coordinator? -field has been generalized to Is Consortium?
  • 31.5.2022. It is now possible to record project controllers that have handled a project proposal or project before active one(s).
  • 25.5.2022. Project proposal and project browse pages have been extended for project controllers and registry office (e.g. attached documents can be reviewed without opening the form).
  • 11.5.2022. Maintenance break. Yes/no-fields related to expected results and description on significant success on negative funding decision have been hidden. Content in Documents and related entities -tab has been regrouped to other tabs in project proposal and project forms. Help text related to required documents and related messages in Converis have been amended (e.g. in state 1. draft budget is sufficient).
  • 5.5.2022. Project proposal records in Converis have been automatically fixed based on Academy of Finland application data of 2021.
  • 30.3.2022. Maintenance break. Simplified setting of University-level follow-up groups (JYU.Wisdom, JYU.Well, JYU.Ope) using radio buttons in Converis forms.
  • 22.3.2022. Researchers are now allowed to move JYU project proposal from "approved for submission" to "submitted to funder" state and from these states to discontinued.
  • 28.1.2022. Archival messages to registry office are now limited to positive funding decisions..
  • 27.1.2022. Application state transformer now assumes applications in "approved for submission" state to be submitted (e.g. if left in state after time limit, the state is changed to "not awarded" instead of "discontinued").
  • 29.12.2021. It is now possible to mark multiple project controllers to handle a project proposal or project.
  • 21.12.2021. Reminder message about JYU project proposals left in "awarded" state.
  • 7.9.2021. Reminder message for project controllers about possible hybrid applications when grant project proposal is moved to "awarded" state.
  • 2.9.2021. Emerging fields hidden from Converis forms.
  • 18.6.2021. Reminder message to unit manager if the project proposal is not handled in reasonable time.
  • 8.6.2021. Added reminder messages for different stages of project proposal to grant researchers.
  • 27.5.2021. Presenting contact person in project proposal and project browse pages is streamlined such that "Contact person" text is shown only if the corresponding link attribute holds "Yes" value.
  • 18.3.2021. Researchers are now allowed to move JYU project proposal from "submitted to funder" to negative funding decision.
