What should you know about the processing of your personal data?

The Ä¢¹½Ö±²¥ collects personal data about you to carry out its tasks. You have rights to this data, such as the right to access the data and the right to be sure that it’s stored securely and only for the necessary time. Above all, you have the right to know the following:

  • what information we collect about youand why,
  • for how long, and where we keep this information, and
  • to whom we share this information.

How to find the information you’re looking for

We have created this privacy notice to be as easy as possible to use and understand. That’s why you'll find the key points concisely summarized under each section. If you're interested in knowing more, follow the links in the sections or contact the Data protection officer.

Why we process your personal data?

The data warehouse is a reporting service offered by the Ä¢¹½Ö±²¥ to its units, providing the units with information on their own activities and the University as a whole that they can use to develop their activities and as a support tool. The data warehouse is also used in the reporting to the authorities.

What data we process and for how long

No data is entered in the data warehouse and it does not contain any feed forms. The data into the data warehouse comes from other systems (source systems). If there are any errors in the data stored in the data warehouse, the corrections are made in the source system from where the updates are transferred to the data warehouse.

The data content of the data warehouse is determined by the source systems. The following systems serve as source systems of the data warehouse: study information system Sisu, student mobility system MobilityOnline, financial information system SAP, HR information system Mepco, research information system Converis, IDM, as well as Studyinfo.

The data processed by the University is of student, research, financial ja HR administration.

What rights you have and how to exercise them

You have the following rights:

  • Right to access your data.
  • Right to have any incorrect information corrected.
  • Right to have your data erased (right to be forgotten), in certain situations.
  • Right to restrict processing.
  • Right to have the responsible departments inform the party to which your data is disclosed of your data being corrected, erased, or the processing being restricted.
  • Right to object processing, e. g. direct marketing.
  • Right to have your data transferred from one system to another, when processing is based on an agreement or your consent,
  • Right to be notified of any information security breaches resulting in a high risk.
  • Right to file a complaint with the supervisory authority.

You can exercise your rights by sending a request to the university's Registry office. You can use the form from the Registry office's page or send your request informally. Keep in mind that withdrawing your consent doesn’t change the processing that happened before the withdrawal.

Who can access your personal data?

Your personal data is handled by the personnel of the Ä¢¹½Ö±²¥'s academic and financial administration, and in some cases, employees of faculties and separate departments. 

The teams in charge of improving and maintaining of the data warehouse also has access to your personal data. The access is always based on work-related needs and roles.

Also, the service providers we use can access your personal data in their role as data processors. However, these providers don’t actively process your personal data, but they have access to it for maintenance reasons.

To whom we transfer your data?

Entities outside the University we share your personal data with, are the Ministry of Education and Culture, Statistics Finland and the national higher education achievement register.
