Permissions, access and keys

Research permission

Each project using MEG laboratory needs to obtain a research permission from CIBR. Research permission form can be received by sending an email to simo.p.monto@jyu.fi and tiina.m.parviainen@jyu.fi .

Following the submission of the application form, the research group and CIBR staff will meet to ensure that all practical matters have been considered (funding, personnel, need for training and support, other resources).

Access to Kärki building and MEG laboratory

Keys to office areas in the Kärki building (Dept. Psychology) can be requested from assistant Mari Hannula. Access to the MEG laboratory can be given to persons who are engaged with data collection of an active research project. MEG lab keys can be requested from the CIBR staff technical support. Access holders are responsible for their own activities as well as for any persons they allow into the lab.

IT permissions

Two different IT permissions are needed for MEG data collection and analysis: First is the general JYU user account provided by IT services, and when this is in order, the permission to access the CIBR servers can be applied. Students and staff of the University already hold the IT user account. The CIBR servers permission can be added to the same account upon request to the CIBR staff technical support.

MEG lab calendar permission

For reserving MEG lab time slots, you need a permission to modify the lab reservation calendar. The reservations in the calendar can be checked at .

After you have a research permission, you can ask for the calendar modification rights from the CIBR staff technical support. Please note the restrictions on how many hours you can reserve per month and per project as well as other instructions in the calendar web page. Cancellations of reserved times need to be communicated to the technical support as early as possible.

Emergency

In case of a real emergency: 

  • Call 112.
  • Nearest fire extinguisher can be found outside to the door to MEG laboratory. 
  • First aid kit and heart defibrillator are located at the ground floor reception.

MEG laboratory telephone can be used to make emergency phone calls.

Data protection and information security

Data protection concerns the means of access and modification of the data. It also includes things such as data corruption, back-ups and data availability. To enhance data protection in CIBR, we have a few guidelines that every user should obey:

  • Users should use only strong passwords ()
  • Do not reveal your password to anybody or to anything! Attacks aiming at obtaining user passwords (‘phishing’) are increasing, and should be reported to admins
  • Access to CIBR IT-systems is given to MEG users according to need. Access will use the same user name and password as other JYU IT services. The admins may remove individual user’s access at their consideration.
  • The only place for storing of MEG data recorded in CIBR are the CIBR servers cibr1.psy.jyu.fi and cibr2.psy.jyu.fi.  
  • Each MEG project has a project-specific folder. Project PIs are responsible for maintaining good practices therein. Project PIs can manage project folder access for their user groups via eTyötila members interface in account.jyu.fi service. It is suggested that the project folder includes separate sub-folders at least for original MEG data (orig, write-protected), MaxFiltered / pre-processed data, MRIs / other data, and scripts. Documentation of contents and updates should be at least on the level of readme.txt files. Collecting and storing metadata for each session is currently under process.

Information security is about the protection of all information that can be considered personal or private. The most precious information to keep secure is subject/patient information. These can only be stored in safe places. Project’s ethical permission includes statements on managing data and sensitive information. Currently, the CIBR servers are not designed for storing protected information. JYU recommends CollabRoom web service for storing confidential electronic data.

Access to the MEG laboratory space is given only to authorised MEG operators with an ongoing project. Each operator is responsible for his/her activities as well as any persons allowed into the lab.

Obtaining MR images

Obtaining MR images at Synlab

CIBR has made an agreement with a local MRI laboratory, Synlab, to acquire MR images of volunteer subjects. T1- and T2-weighted images can be acquired, with or without neuroradiologist’s consultation. There is a mutually agreed protocol and forms for this. Details can be clarified with Simo Monto.

Obtaining MR images at Hospital Nova

We engage in research collaboration with the local hospital Nova, which houses a 3T MR device for brain research. Details can be clarified with Simo Monto.
