Background on cloud services

The Ä¢¹½Ö±²¥ offers primarily the organization’s own services to the staff and its students. Confidential and secret information must be processed with these services.

The university employs cloud services, that comply with the EU legislation and are widely accepted in the academic community. University has made a contract with Microsoft and Google to employ their cloud services, and the university recommends you to use these.

Microsoft Office365 and Google Drive are cloud services controlled by the universe (credential control and the monitoring of the access rights). You are not allowed to process confidential information without encryption, and the processing of secret or personal data is forbidden. The university does not actively help in using the cloud services, or when problems occur. Support can be found from the service’s web page, forums and social media. University’s Yammer service does not act as such.

The university retains the right to end or limit the use of these services without asking for permission from the users if changes in the information security, terms of use or pricing require so from the university’s point of view.

The right to use or access to the information stored in the services can end when the working contract or right to study ends. The university informs the person, but the university is not responsible for the information nor does it help in transferring it from the cloud service.

Instructions for the safe use of cloud services

The usage of the services should be based on your own consideration, knowledge about the rules of the services and accepting the terms of use.

The functionalities and the terms of use might change without notice. Cloud services should never be the only means of storing information.

Processing the information should be done according to the rules of the University’s guide to confidentiality.

  • Confidential or secret information is not allowed to process on commercial cloud services
  • Grades for courses should be returned and stored in the university’s own services
  • The processing of personal data is not allowed on external services
  • Students cannot be obliged to use commercial nor university’s cloud services
  • Remember to comply with copyrights and the guides set by Kopiosto (a Finnish copyright organization)
  • Cloud services should not be used as the only means of information storing
