Publishing data in JYX
Prepare the basic metadata description of the data in the data section of Converis and save the information in the To be completed mode from the Save and select step menu in the lower right corner of the form. Check that the documentation needed for the interpretation and use of the data is in order and ready to be published with the data. The data can be opened when its metadata and documentation are up to date. Also make sure that if the data has contained personal data during the research and you have anonymised it, the anonymisation is certainly complete.
Option 1. If you store data in Nextcloud, proceed as follows:
1. Make sure that all the necessary documentation and data files and subfolders are included in the Nextcloud group folder (JYU Groups directory) or in your personal Nextcloud in the order you want, and that the files are clearly named. A README or similar. The documentation file should be placed at the root of the directory, where it is easy to open first:

2. First, click the link icon on the right side of the folder:

3. Click the + icon next to the Share link command to display the sharing settings:

4. Deactivate the default expiration date in the settings menu:


5. Click the Copy to clipboard icon and copy the link text to Notepad or directly to the Converis field:

6. Navigate to the "Save and select status" menu to the bottom-right corner of the form and check that the metadata is in "To be completed" status in Converis:


7. Navigate to the "Additional information and actions" tab. Place the link in the "Nextcloud sharing link of material for publication" field of the Converis form:


8. Check that the metadata is otherwise correct and that you have selected the desired usage license for the data the License field. If you need help in selecting a suitable license, check the "I need help with license issues" box and save the metadata from the "Save as draft" button to the bottom of the page. You will be contacted by the Research Data Services at the Open Science Centre:

9. Finally, go to the "Save and select status" menu to the bottom right of the form. Save the form in "For validation":

Thats' it! You can now have some coffee. The Open Science Centre data experts will contact the designated contact persons in any supplementary questions and will publish the data (usually 1 to 3 weekdays). The DOI link to the published data in JYX will be emailed to the designated contact persons.
Option 2. If you do not store published data in Nextcloud, proceed as follows:
1. Organise the data and documentation files and subfolders to be published, clearly named, in the main folder you want to publish.
2. Save the folder to a compressed .zip folder. the method varies depending on device and operating system but is easy. On windows, the method is as follows:
- Press and hold (or right-click) the file or folder, select (or point to) Send to, and then select Compressed (zipped) folder.
- A new zipped folder with the same name is created in the same location. To rename it, press and hold (or right-click) the folder, select Rename, and then type the new name.
3. Send the .zip folder to the Open Science Centre: researchsupport-osc@jyu.fi. The Research data Services manage the linking of the data to Converis for publication in JYX. You can use JYU's Funet File Sender program so that the maximum size of the email attachment is not exceeded. For small data sets, regular email works fine.
4. Save the metadata you have prepared in the Converis data section in the "Save and select status" menu in the lower right corner of the form to "For validation":
