Student email changes to Outlook in 2021

According to current knowledge, the students’ email system will change in 2021. The O365 services, excluding email, are already available for students.

The students’ email system will change from Google ISA to Outlook. Old email messages will be stored and moved to the new service. Other Google G Suite services (e.g. Google Drive, Docs, Sheets, Slides), excluding the email, will remain in use for students until further notice.

There has been varying information and guesses about the schedule of the email transfer. According to current knowledge, the transfer will be implemented in 2021. More information on the schedule and more detailed instructions will be provided for students later in 2020. Here is a summary of the change:

Why the change?

The transfer is part of centralising the university’s digital services to Microsoft O365 cloud services. Other Office 365 applications are already available for students. A common email service and transfer from Google tools to Microsoft tools promote and ease collaboration between staff and students. Microsoft O365 services include useful tools such as OneDrive, Teams, Word, Excel and PowerPoint.

What does this mean for a student?

As the email system changes, also the layout will change. In the future, it is recommended to use email with Outlook desktop and mobile applications. It is also possible to import the email inbox to a third-party email system by selecting Exchange as your account. Using email in an online browser is also possible with the Outlook Online application. We will tell more details about the use of the new email later in 2020.

Google tools such as Drive, Docs, Slides and Sheets are still available until further notice regardless of the change, and you don’t need to worry about storing your files. We will give instructions related to the email transfer in good time! Students can start using Microsoft Office 365 applications already now.

Office 365 is a cloud-based service entity that includes familiar tools such as Word, Excel and PowerPoint. The OneDrive cloud storage and the Teams communication platform are also part of the Office 365 service entity.
